Knowing how to calculate VAT on an invoice is essential for business owners, freelancers and anyone who regularly deals with invoices. Our free VAT calculator does the work instantly — enter the base amount, choose the VAT rate, and get the VAT amount and total in seconds.

VAT rates and when they apply

VAT rates vary by country, but most EU countries use a tiered system. In Spain, the three main rates are:

  • Standard rate (21 %) — applies to most goods and services: electronics, clothing, professional services, commercial rent.
  • Reduced rate (10 %) — food (non-essential), hospitality, passenger transport, housing renovation.
  • Super-reduced rate (4 %) — essential foods (bread, milk, fruit), books, newspapers, medicines, and social housing.

Some services are VAT-exempt (insurance, healthcare, regulated education), meaning no VAT appears on the invoice.

VAT formulas explained

There are two common scenarios when working with VAT on invoices:

  • VAT from net (exclusive) amount: VAT = Net × (rate / 100). Gross = Net + VAT. Example: £1,000 net × 20% = £200 VAT → £1,200 gross.
  • Net from gross (inclusive) amount — reverse VAT: Net = Gross / (1 + rate / 100). Example: £1,200 / 1.20 = £1,000 net.

Our calculator handles both directions automatically. Just switch between "add VAT" and "remove VAT" mode.

Practical examples

Example 1 — Consulting invoice at 21 %: Net €2,500. VAT = €525. Invoice total = €3,025.

Example 2 — Restaurant bill at 10 %: Gross total €88. Net = €88 / 1.10 = €80. VAT = €8.

Example 3 — Books at 4 %: Net €150. VAT = €6. Total = €156.

Input VAT vs Output VAT

Output VAT is the VAT you charge on your sales invoices and collect on behalf of the tax authority. Input VAT is the VAT you pay on your purchases. In your periodic VAT return, you pay the tax authority the difference: Output VAT − Input VAT. If input exceeds output, you receive a refund or carry forward the credit.

Frequently asked questions

How do I calculate VAT on a €1,000 invoice at 21 %?

VAT amount = €1,000 × 0.21 = €210. Total invoice = €1,000 + €210 = €1,210. If you start from the gross total of €1,210 and need the net, divide by 1.21: €1,210 / 1.21 = €1,000. Our calculator handles both directions automatically.

What is the standard VAT rate in Spain?

The standard VAT rate in Spain is 21 % and applies to most goods and services. A reduced rate of 10 % covers food (non-essential), hospitality and transport. A super-reduced rate of 4 % applies to basic foods, books, newspapers and medicines.

How do I extract the net price from a VAT-inclusive amount?

Use the reverse VAT formula: Net = Gross / (1 + rate / 100). For example, a total of €363 at 21 % VAT gives a net of €363 / 1.21 = €300. VAT = €63. Select "Remove VAT" in the calculator and it will compute this automatically.

What is reverse charge VAT?

Reverse charge is a mechanism where the buyer, not the seller, accounts for VAT. It applies mainly to B2B cross-border services within the EU and to certain domestic sectors such as construction. The seller issues an invoice without VAT and adds a note that reverse charge applies.

Are all professional services subject to 21 % VAT?

Most professional services — consulting, design, IT, marketing — are subject to 21 % VAT. However, some services are exempt: regulated education, healthcare, insurance and financial transactions. If you are unsure about a specific service, consult the local VAT law or a tax advisor.
